The short version: we collect what we need to file your taxes, we share it only with the parties strictly required to do that, we don’t sell or train models on it, and you can ask us to delete anything we’re not legally required to retain.
Who we are
TaxStone is a UK-based US tax practice. “We”, “us”, and “our” refer to TaxStone throughout this document. We are regulated by the Association of Chartered Certified Accountants (ACCA) on the UK side and operate under the IRS Office of Professional Responsibility / Circular 230 on the US side.
If you would like to confirm our regulatory status, contact details for both bodies are at the end of this page.
Data we collect
When you enquire via the Get Started form we collect your name, email, country of residence, self-described status (US citizen, Green Card holder, dual citizen, etc.), and the message you send us.
When you become a client we collect identity documents (for AML / KYC), the financial data required to prepare your filings (W-2s, P60s, brokerage statements, pension statements), and any prior tax returns you choose to share.
- Identification documents — passport, photo ID, proof of address
- Income documents — W-2, P60, P11D, 1099s, K-1s, brokerage statements
- Account information — UK / US bank, ISA, pension, brokerage statements
- Prior-year tax returns — US 1040s and UK SA100s, where relevant
- Correspondence with you about your engagement
How we use your data
We use your data solely to respond to your enquiry, prepare and file your tax returns, meet our regulatory and statutory obligations (anti-money laundering checks, IRS preparer requirements, ACCA record-keeping rules), and communicate with you about your engagement.
We do not sell your data. We do not share your data for marketing purposes. We do not use your data to train machine-learning models.
Who we share data with
Your data is shared only with parties strictly necessary to deliver your engagement:
- The IRS and HMRC, when filing your returns
- FinCEN, when filing your FBAR
- Our secure document portal provider, encrypted at rest and in transit
- State tax authorities, where state filings are required
- Your other professional advisers (UK accountant, financial adviser, solicitor) only with your written consent
How long we keep data
We retain client records for at least 7 years from the end of the engagement, in line with ACCA guidance and IRS preparer record-keeping rules. You can request earlier deletion of any data we are not legally required to retain by emailing us — see contact details below.
Your rights
Under UK GDPR and the UK Data Protection Act 2018 you have rights to access, rectify, and request erasure of your personal data, as well as the right to object to or restrict processing in certain cases. To exercise any of these rights, email us at the address below.
You also have the right to complain to the UK Information Commissioner’s Office (ICO) if you believe we have mishandled your data.
Terms of engagement
Every engagement is confirmed in a written engagement letter setting out scope, fees, responsibilities, and termination terms. The letter is the binding agreement between you and TaxStone for the work described.
This website is informational only and does not constitute tax advice. Specific advice can only be given on the basis of an engagement letter, after we have reviewed your full circumstances.
Either party may terminate an engagement on reasonable notice. Fees for work performed up to the date of termination remain payable.
Professional indemnity & complaints
TaxStone holds professional indemnity insurance on every engagement. Cover details and limits are available on request. If you are unhappy with our service, the first step is to contact your engagement lead. If the matter cannot be resolved internally, ACCA operates a formal complaints process for UK clients.
